Data & Document Confidentiality
Translation can involve sensitive information. Agree on appropriate handling arrangements before sending personal, privileged, regulated, or commercially confidential documents.
Start with a brief
An initial enquiry can describe the document type, approximate length, languages, audience, and deadline. You do not need to include confidential source material in the form. Where possible, use a redacted sample for an initial assessment.
Agree on confidentiality and access
Documents entrusted to Idiomly are treated as confidential. Project material is for the people authorized to carry out and review the agreed work, not for unrelated use or public sharing.
Raise any nondisclosure agreement, access restrictions, required processing location, or special-category data requirements before work is accepted. A confidentiality agreement does not by itself confirm that a particular technical or regulatory requirement can be met.
Transfer, translation, and delivery
The quote form accepts up to five documents, totalling 10 MB, and sends them with your request through Resend to translations@idiomly.ca. Files are processed for email delivery; the form does not create a public download link or client document portal. Contact us first to agree a suitable transfer method if ordinary email does not meet your organization’s requirements for sensitive material.
Idiomly’s service is human translation and review. Any required terminology resources, shared workspaces, or client tools should be discussed as part of the brief. Confirm the intended recipient and delivery format before final files are sent.
Retention, deletion, and incidents
Specify any return, retention, or deletion requirements before sharing files. Project files and correspondence may have different requirements from financial records. Ask for the arrangements that apply to your project rather than assuming immediate deletion after delivery.
If you believe a file was sent to the wrong recipient or accessed without authorization, email translations@idiomly.ca promptly with the project reference and a description of the concern. Do not resend sensitive content unnecessarily. Any response and notification obligations depend on the circumstances and applicable law.
